We're looking for someone who is able to maintain a high level of professionalism, specifically because the information they will be filing is confidential and frequently involves compensation and benefits information. Perform various administrative duties for one or more managers. Use established office procedures to perform the necessary job functions required. Create new administrative procedures as necessary to manage test site activity. 1. Perform accounting functions: Timesheets, Expense Reports, and Prepare Payable Invoices. 2. Be the liaison between employees and Human Resources 3. Prepare complex and confidential material (PowerPoint Presentation, gather data for projects) 4. Prepare reports and special projects as directed. Compile reports by entering and retrieving data from JD Edwards, TIR database, Sharepoint sites, or other sources of test information. 5. Screen telephone calls, visitors, and incoming correspondence. 6. Assist Test Site Manager and Engineers with day to day management of the test site activities. 7. Order office and shop supplies plus maintain supply inventory. 8. Daily contact with customers, service providers, executives, senior managers, etc. (in person, via telephone, e-mail or fax). 9. Assisting and keeping track of safety and environmental items/paperwork (MSDS, safety boots/equipment, waste hazard). 10. Manage and assist with cleanup activities of office, shop, company vehicles, and inventory storage locations. 11. Receive inbound and facilitate outgoing shipments of test materials. 12. Place orders and make inventory transactions. 13. Operation of company pickup trucks to make local pickup and deliveries. 14. Schedule meetings with on site or personnel at the corporate office. 15. Communicate office correspondence to on site team. 16. Other duties as assigned. High School degree or GED 2-plus years related experience Associate's degree in administrative assistant or equivalent JD Edwards experience Ability to exercise independent judgment while handling multiple tasks Working knowledge of computer software (i.e. Microsoft suite of products including Word, Excel, PowerPoint, Visio), etc.; Adobe Acrobat; Internet search tools Proficient grammar and proofreading skills Excellent customer service and communication skills Ability to identify common automotive parts.
